3.12: Powerhouse Policy & Procedure Toolkit

You don’t have to start from scratch. The Powerhouse® Policy & Procedure Toolkit provides adaptable templates and examples to help your organization address identified gaps. These resources are intended as a starting point and should be reviewed and adapted to align with your organization’s existing policies, practices, and applicable requirements.

The Powerhouse® Policy & Procedure Toolkit provides adaptable templates based on YCA’s experience delivering programs for young caregivers. Use these resources to support the areas you identified through your Policy Readiness Check. These templates are starting points, and are not intended to be used as finalized policies. Organization-specific and province- or territory-specific requirements have intentionally been left for your organization to determine.

Before Using a Template

  • Review and customize it for your organization and the way you will deliver Powerhouse®.
  • Confirm the legislation, regulations, and other requirements that apply in your province or territory.
  • Follow your organization’s review and approval process before putting a new or revised policy into practice.

Where your organization already has an established policy or procedure, start there. Use the Powerhouse® templates to support your review and identify anything that may need to be adapted for Powerhouse® delivery.

Privacy, Confidentiality & Records Management

Supports your organization in establishing how participant information is collected, accessed, shared, stored, retained, and protected, including expectations for confidentiality and its limits.

Participant Supervision & Safety

Attendance, Safe Arrival & Release

Disclosures & Duty to Report

Provides a framework for how disclosures and safety concerns are responded to, documented, and escalated, while helping staff and volunteers understand their individual reporting responsibilities and applicable local requirements.

 Incident & Serious Occurrence Reporting

Supports your organization in defining what needs to be reported and establishing clear procedures for notification, documentation, escalation, follow-up, and organizational review.
